Cancellation & Rescheduling Policy
Bravo Sight & Sound understands that event plans can change. This policy outlines how cancellations, postponements, and rescheduling requests are handled after a Quote/Proposal has been accepted.
This policy should be read together with the applicable Quote/Proposal and Bravo Sight & Sound’s Event Terms & Agreement.
1. Notice of Cancellation or Rescheduling
The Client should notify Bravo Sight & Sound in writing as soon as possible if an event must be cancelled, postponed, or rescheduled.
The effective date of cancellation or rescheduling will be the date Bravo Sight & Sound receives written notice from the Client.
2. Client Cancellation
Because Bravo Sight & Sound reserves equipment, schedules personnel, and begins event preparation in advance, cancellation charges may apply based on the amount of notice provided.

The contracted amount means the total amount of the accepted Quote/Proposal, including any subsequently approved changes.
Payments already received will be applied toward the applicable cancellation amount. If the cancellation amount exceeds payments already received, the remaining amount may be invoiced to the Client.
3. Committed and Non-Refundable Costs
In addition to any applicable cancellation amount, the Client may be responsible for event-specific, non-refundable third-party costs or specially purchased items that cannot reasonably be cancelled, returned, reused, or otherwise recovered by Bravo Sight & Sound.
These may include custom signage or graphics, specially ordered materials, freight or shipping, permits, specialty equipment, outside labor, or other event-specific expenses.
Bravo Sight & Sound will make reasonable efforts to avoid or reduce unnecessary costs after receiving notice of cancellation.
4. Rescheduling
Bravo Sight & Sound will make reasonable efforts to accommodate requests to reschedule an event, subject to equipment, personnel, and date availability.
For rescheduling requests received 14 or more days before the event, payments already received will be applied to one mutually agreed replacement event date occurring within six months of the original event date, unless otherwise agreed in writing.
Any event-specific, non-refundable costs that cannot reasonably be transferred or recovered remain the Client’s responsibility.
A rescheduled event is not confirmed until Bravo Sight & Sound approves the new date and issues an updated Event Confirmation.
5. Rescheduling With Less Than 14 Days’ Notice
Requests received fewer than 14 days before the event will be reviewed based on the circumstances, availability, and costs already committed to the original event date.
Bravo Sight & Sound will make reasonable efforts to accommodate the rescheduling request and apply eligible payments to the approved replacement event date when practical.
The Client remains responsible for any event-specific, non-refundable costs or committed expenses that cannot reasonably be cancelled, transferred, reused, or recovered.
Additional charges may apply if the rescheduled event results in changes to the scope, venue, schedule, equipment, labor requirements, or services.
6. Multiple Rescheduling Requests
Payments already received may generally be applied to one approved replacement event date.
Additional requests to change the event date may be treated as a cancellation of the previously rescheduled event and may be subject to the applicable cancellation terms.
Bravo Sight & Sound may make exceptions when appropriate and agreed to in writing.
7. Force Majeure
Cancellations, postponements, or delays resulting from circumstances beyond the reasonable control of either party—including severe weather, natural disasters or acts of God, government actions or restrictions, civil unrest, venue closures, utility failures, public health emergencies, or similar circumstances—will be handled in accordance with the Force Majeure provisions of Bravo Sight & Sound’s Event Terms & Agreement.
The standard cancellation schedule in this policy will not automatically apply to a Force Majeure event.
Bravo Sight & Sound and the Client will make reasonable efforts to determine an appropriate course of action, including postponing or rescheduling the event when practical.
8. Cancellation or Postponement by Bravo Sight & Sound
If Bravo Sight & Sound suspends, postpones, or cancels services, the matter will be handled in accordance with the Suspension, Postponement, or Cancellation by Bravo Sight & Sound provisions of the Event Terms & Agreement.
If Bravo Sight & Sound cancels services for reasons within its reasonable control and not because of Client actions, venue conditions, or Force Majeure, payments for services not provided will be refunded or credited, as appropriate.
9. Changes to a Rescheduled Event
A rescheduled event will not result in additional charges solely because the event date has changed.
If the scope of the event changes, including changes to the venue, schedule, attendance, equipment, labor requirements, or services, an updated Quote/Proposal may be required.
Any resulting change in price will be communicated to the Client before the rescheduled event is confirmed.
